Information You Provide Directly

  • Full name and email address when you register
  • Password (stored in encrypted form — we never see your plain-text password)
  • Target exam type (IELTS or PTE) and exam goals
  • Phone number and country (optional, for tutors or support requests)
  • Audio recordings of your speaking test responses
  • Written responses submitted during practice tests
  • Communications you send to us via email or our contact form

Information Collected Automatically

  • Browser type, operating system, and device information
  • IP address and approximate geographic location
  • Pages visited, time spent, and navigation paths within the Platform
  • Test attempt data including start time, completion time, and scores
  • Cookies and similar tracking technologies (see Section 7)

Information from Third Parties

  • If you sign in via a third-party service (e.g. Google), we receive basic profile information such as your name and email address as permitted by that service.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To create and manage your account
  • To provide, operate, and improve our test preparation services
  • To generate AI-powered scoring and feedback on your practice tests
  • To track and display your progress over time
  • To process payments and manage your subscription
  • To respond to your enquiries and provide customer support
  • To send you important updates, service notifications, and (where you have opted in) promotional communications
  • To detect, investigate, and prevent fraudulent transactions and other illegal activities
  • To comply with applicable laws and regulations of Nepal
  • To analyse usage trends and improve the overall user experience

4. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

  • Service Providers: We share data with trusted third-party vendors who assist us in operating the Platform (e.g. cloud hosting, payment processing, email delivery, AI services). These vendors are contractually obligated to protect your data.
  • Tutors: If you book a tutoring session, your name and relevant test information is shared with the assigned tutor solely for the purpose of providing the session.
  • Legal Obligations: We may disclose your information if required to do so by law, court order, or governmental authority under the laws of Nepal.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data at any time by contacting us at csd@nepaltestprep.com.

Audio recordings submitted during speaking tests are retained for a maximum of 90 days for the purpose of scoring and feedback, after which they are permanently deleted from our systems.

Anonymised, aggregated data (with no personally identifiable information) may be retained indefinitely for research and analytics purposes.

6. Data Security

We implement industry-standard technical and organisational security measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include:

  • TLS/SSL encryption for all data transmitted between your browser and our servers
  • Passwords hashed using secure, industry-standard algorithms — we never store plain-text passwords
  • Row-level security policies on our database to ensure users can only access their own data
  • Regular security reviews and access controls for staff with system access

Despite these measures, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data.

7. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to enhance your experience on the Platform. Cookies are small data files stored on your device that help us recognise you across sessions.

Types of cookies we use:

  • Essential Cookies: Necessary for the Platform to function (e.g. authentication sessions). These cannot be disabled.
  • Analytics Cookies: Help us understand how users interact with the Platform (e.g. page views, test completion rates). These are anonymised.

  • Correction: Request that we correct inaccurate or incomplete data
  • Deletion: Request deletion of your personal data (subject to legal retention obligations)
  • Portability: Request that we provide your data in a structured, machine-readable format
  • Objection: Object to the processing of your personal data for direct marketing purposes
  • Withdrawal of Consent: Withdraw consent for optional data processing at any time

9. Children's Privacy

Our Platform is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.

Users between 13 and 18 years of age should have parental or guardian consent before using paid features.

11. International Data Transfers

Our servers and service providers may be located in countries outside Nepal. By using the Platform, you consent to your information being transferred to and processed in those countries, which may have different data protection laws than Nepal.

We take reasonable steps to ensure that any international transfers of data comply with applicable legal requirements and that your information remains protected.

12. Changes to This Privacy Policy
